Separate visible issues from report items
A leaking fitting, damaged gauge, missing sign, painted head, or valve issue may be visible on site. Other deficiencies may only appear in the inspection report. Include both if available.
Include building and access context
A warehouse, condo tower, parking garage, retail plaza, and restaurant can require different scheduling and equipment. Mention ceiling height, locked rooms, tenant access, and whether a lift or special access may be needed.
Note urgency and impairment concerns
If the issue affects system operation, occupancy, insurance, or a municipal deadline, state that clearly. Providers need to know whether the request is routine, high priority, or tied to an active deadline.
Keep documentation together
Attach or summarize inspection reports, photos, device locations, and correspondence. Clear documentation helps reduce back-and-forth before quoting.
